Behind the Scenes: A Day in the Life of a Wedding Coordinator

Ever wonder what a wedding coordinator actually does? Spoiler alert: it’s way more than pointing people to the open bar. From the whirlwind of wedding season to the quiet planning of the off-season, our days are equal parts chaos, creativity, and careful orchestration.
Think of us as the Swiss Army knives of the wedding world. Our toolboxes are packed with sticky dots, pins, zip ties, scissors, batteries, flashlights and first-aid kits. We’re ready for anything, from a centerpiece mishap to a last-minute mic issue.
On wedding day, we’re everywhere at once: coordinating vendors, double-checking rentals, making sure every detail is exactly as the couple imagined. We take care of your family and friends, smooth over hiccups, and on occasion have filled in as the emergency MC. We keep the day flowing seamlessly, so our couples can actually enjoy their celebration.
When the season winds down, the planning begins in earnest. We brainstorm, book surprise entertainment (drag shows, tarot readers. YES, really), rent trees and greenery to transform venues, and debate napkin colors way more than is probably healthy. We help select floral arrangements, refine timelines, and obsess over every detail so the next season is nothing short of magical.
It’s a hectic, messy, and thrilling career. But at the end of the day, when the last song plays and the couple is dancing happily surrounded by family and friends, every pin, sticky dot, and zip tie was worth it. Being a wedding coordinator is about creating moments that feel effortless for our clients. Even if behind the scenes, we’re juggling a thousand moving pieces.
Next time you marvel at a flawlessly executed wedding, remember: there’s a team of coordinators running on caffeine, adrenaline and sheer willpower. All while grinning like it’s effortless and sprinkling a little wedding-day magic everywhere.
